1. Acceptance of Terms
By accessing and using VoxPoint's services, you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our services. We reserve the right to modify these terms at any time, and your continued use constitutes acceptance of any changes.
These Terms of Service are supplemented by our Privacy Policy, Acceptable Use Policy, and, if applicable, the Developer Agreement, API Terms of Use, and Marketplace Terms. By using VoxPoint, you agree to all applicable policies.
2. Description of Service
VoxPoint provides a business management platform including estimates, work orders, invoices, inventory management, expense tracking, vendor management, calendar and scheduling, team collaboration, a Client Portal for your customers, and a Developer Program with API access and Marketplace. Features may vary by subscription tier.
3. Organizations and Team Accounts
VoxPoint operates on an organization-based model. When you create an account, you create or join an organization.
- Organization owners have full control including billing, team management, and ownership transfer.
- Team members are assigned roles (Admin, Manager, Member, Technician, Viewer) with specific permissions. You are responsible for the actions of team members you invite.
- Each organization's data is isolated. Team members cannot access data from organizations they do not belong to.
- You are responsible for maintaining appropriate permissions and access control within your organization.
4. User Account Responsibilities
When you create an account, you agree to:
- Provide accurate and complete information
- Maintain the security of your password and account
- Notify us immediately of any unauthorized access
- Accept responsibility for all activities under your account
- Maintain the security of any multi-factor authentication methods configured on your account
- Account credentials must not be shared. Each team member must have their own account.
5. Client Portal
VoxPoint allows you to share documents and accept payments from your customers through the Client Portal.
- You are responsible for the accuracy of information presented to your customers through the portal.
- You are responsible for all content and communications sent to your customers via the portal.
- Portal access links are time-limited and secured. You must not share portal management credentials with your end customers.
- VoxPoint is not a party to any agreement between you and your customers.
6. Developer Program
Access to VoxPoint's APIs and Marketplace is governed by additional terms:
Participation in the Developer Program requires acceptance of these additional terms. VoxPoint reserves the right to revoke API access and remove Marketplace listings at its discretion.
7. Third-Party Integrations
VoxPoint offers optional integrations with third-party services including Stripe, QuickBooks Online, and Google Calendar.
- Your use of these integrations is subject to the respective third-party terms of service.
- We may exchange data with third parties only as needed to provide the integration, as authorized by you.
- VoxPoint is not responsible for the availability, accuracy, or security of third-party services.
- You may disconnect integrations at any time through Settings.
8. Acceptable Use
You agree not to:
- Use the service for any illegal or unauthorized purpose
- Violate any laws in your jurisdiction
- Upload malicious code or attempt to hack our systems
- Interfere with or disrupt the service or servers
- Impersonate another person or entity
- Use the service to spam or send unsolicited communications
Your use of VoxPoint is also subject to our Acceptable Use Policy.
9. Payment Terms
Subscription fees are billed in advance for the monthly or annual billing interval selected at checkout. All fees are non-refundable except as required by law or as explicitly stated in our refund policy. Pricing changes require at least 30 days' notice.
Current Pricing
- Solo: $49 per month or $490 per year, with one included staff member.
- Team: $99 per month or $990 per year, with five included staff members.
- Additional staff: Charges and billing intervals are disclosed when you select or change your plan.
- Features depend on your selected plan. Your checkout confirmation or existing subscription agreement identifies your applicable price, including any grandfathered pricing.
- SMS addon: +$20/month: adds A2P-registered 10DLC business messaging with an included monthly message allowance.
- SMS overage: $8 per additional 500-message block beyond the included allowance in any billing period.
Billing
- Payment processing is handled by Stripe. Your payment information is transmitted directly to Stripe and is not stored on VoxPoint servers.
- SMS overage charges are calculated at the end of each billing period and applied to the next invoice.
- Subscriptions automatically renew unless cancelled before the next billing date.
- Failure to pay may result in service suspension after a grace period.
10. Stripe Connect
If you enable payment collection through the Client Portal, you will become a Stripe Connected Account. By enabling this feature, you agree to the Stripe Connected Account Agreement, which supplements these Terms.
- VoxPoint facilitates the connection between your account and Stripe but is not a party to payments made by your customers.
- Stripe may request identity verification, business documentation, or other information as part of its onboarding and compliance process. VoxPoint is not liable for any decisions made by Stripe regarding your Connected Account, including account holds, restrictions, or termination.
- Payouts are subject to Stripe's payout schedule and applicable holds. VoxPoint does not control Stripe's payout timing.
- You are responsible for all taxes, chargebacks, and disputes related to payments collected through your Connected Account.
11. Merchant-Set Service Fees
VoxPoint provides configurable tools that allow merchants to add service fees, convenience fees, or similar charges to customer invoices and payments. These tools are provided as a platform feature only. VoxPoint does not determine, advise on, or guarantee the legality or compliance of any fee you choose to enable or configure.
- You are solely responsible for determining whether any service fee, convenience fee, surcharge, or related charge you enable complies with all applicable federal and state laws, regulations, and payment network rules (including Visa, Mastercard, and any other applicable card network rules) in your jurisdiction.
- By enabling any fee feature within VoxPoint, you acknowledge and accept full responsibility for compliance with all applicable laws and regulations governing such fees.
- VoxPoint makes no representations or warranties regarding the legality of any fee in any jurisdiction. Laws and card network rules governing surcharges and convenience fees vary by location and are subject to change.
- VoxPoint shall not be liable for any fines, penalties, chargebacks, disputes, or other consequences arising from your use of fee configuration tools, including any determination by a card network, regulator, or court that a fee you charged was impermissible.
12. A2P 10DLC Registration
The SMS addon requires A2P (Application-to-Person) 10DLC registration with The Campaign Registry (TCR) to send business text messages in the United States, as required by carrier regulations.
- By activating the SMS addon, you authorize VoxPoint to submit your business information, including legal business name, EIN (Employer Identification Number), address, and messaging use case, to TCR on your behalf.
- Registration fees imposed by TCR or carriers are passed through to you at cost and will appear on your invoice.
- VoxPoint is not responsible for TCR approval, denial, or the timing of the registration process. Campaign approval is subject to TCR's and carriers' policies, which are outside VoxPoint's control.
- You are solely responsible for compliance with the Telephone Consumer Protection Act (TCPA), A2P regulations, and any applicable state laws governing business SMS messaging.
- You must obtain proper consent from recipients before sending marketing or transactional messages. VoxPoint may suspend SMS access for non-compliant use without notice.
13. Intellectual Property
The service and its original content, features, and functionality are owned by VoxPoint and are protected by international copyright, trademark, and other intellectual property laws. You retain ownership of any data you input into the system.
14. Data Ownership
You retain all rights to your business data. We claim no ownership over the content you create, upload, or store using our service. You can export your data at any time, and we will delete it upon request in accordance with our Privacy Policy.
- This includes all customer records, estimates, invoices, work orders, inventory data, and any other business data you create within your organization.
- Data ownership remains with the organization, not individual team members.
15. Disclaimers and Warranty
The service is provided on an "as is" and "as available" basis without warranties of any kind, whether express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement. VoxPoint does not warrant that the service will be uninterrupted, error-free, or completely secure. You use the service at your own risk.
16. Service Availability
We strive to maintain high availability but do not guarantee uninterrupted access to the service. We may perform maintenance or updates that temporarily affect availability. We are not liable for any loss resulting from service interruptions.
17. Changes to Features and Pricing
VoxPoint may modify, add, or discontinue features at any time. We will provide reasonable notice for material changes that affect your use of the service. Pricing changes will be communicated at least 30 days in advance via email or in-app notification. Your continued use of the service after the effective date of any pricing change constitutes acceptance of the new pricing.
18. Limitation of Liability
To the maximum extent permitted by law, VoxPoint shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, arising from your use of the service.
VoxPoint's aggregate liability to you for any claims arising out of or related to these Terms or the service shall not exceed the greater of (a) $100 USD or (b) the total fees paid by you to VoxPoint in the three (3) calendar months immediately preceding the event giving rise to the claim.
The foregoing limitation of liability does not apply to claims arising from VoxPoint's fraud, willful misconduct, or gross negligence.
19. Cancellation
You may cancel your subscription at any time via Settings → Billing → Cancel Subscription.
- Upon cancellation, your subscription remains active through the end of the current billing period. No pro-rata refunds are issued for unused time.
- After your subscription ends, your account enters a 30-day data retention period. You may export your data at any time during this window.
- All organization data is permanently and irreversibly deleted 30 days after the subscription ends, unless you reactivate your account.
- Reactivating your account within the 30-day retention window restores full access to your account and all data.
- SMS addon cancellation takes effect at the end of the current billing period. Any overage charges accrued during that period will be invoiced normally.
20. Termination
VoxPoint may terminate or suspend your account at any time for violations of these Terms or our Acceptable Use Policy, without prior notice. Upon termination for cause, your right to use the service will cease immediately.
- Upon termination, organization owners may export their data before account closure, subject to reasonable rate limits and availability for a limited period.
- VoxPoint may retain anonymized data and audit logs as required by law or for platform security.
21. Governing Law
These terms shall be governed by and construed in accordance with the laws of the United States, without regard to its conflict of law provisions.
